How to make Dynamics NAV solution European Union (EU) GDPR compliant


Recently, I was introduced to the concept of General Data Protection Regulation (GDPR) by my mentor Mr. Snehanshu Mandal. The otherwise casual chat with him had now got me curious, as this is going to be implemented in the EU zone around May’2018. Since I am currently deputed at one of the EU countries, this was even more important to me. So here I am with a few important insights on How we can make Microsoft Dynamics NAV solution with GDPR complaint irrespective of NAV version.

Microsoft is dedicated to helping our partners and customers meet the requirements of the upcoming General Data Protection Regulation (GDPR) that applies to all EU citizens and businesses. By May 2018, all supported versions of Dynamics NAV will be updated for GDPR compliance. We are also working on a whitepaper that will help you make your solution compliant.


The General Data Protection Regulation (GDPR) is a regulation by which the European Parliament, the Council of the European Union and the European Commission intend to strengthen and unify data protection for all individuals within the European Union (EU) as well as partially outside of EU, because it’s about the personal data of EU citizens. So it doesn’t only involve companies within EU, but companies that handle personal data of EU citizens.

Dynamics NAV have few standard features which are GDPR complaint:

(1) User ID and Password/ Windows Login: Only user who is authorized to login can only access the NAV database.

(2) Permission: Microsoft Dynamics NAV allows you to control user access of different data/company through Permission and Role Matrix.also we can manage this permission on real time basis by applying or removing it from specific user.

(3) Assign User (From Navigation Control Pane)
In classic client of NAV we can manage user access for different data/module by restricting through assignment of module pane.


(4) Change Log: for tracing the changes made in the system, Dynamics NAV has capabilities to track all direct modifications a user makes to data in the database. This is a one of the GDPR requirement.These are the few features which we can manage for older version of NAV to make system GDPR complaint.

(5) Masking Information on Master Data: For any information masking in Navision, we have one property called PasswordText at Form/Page Design level. If we make this property= YES, Navision will mask the information on specific Form/Page/Screen.
